Updating your profile in Communities
Communities through Viva Engage is tied to your Microsoft 365 identity, so some profile settings also apply across different Microsoft platforms such as your Outlook NELB mail and OneDrive.
Your Microsoft 365 profile is visible to anyone in our community, so we recommend keeping that in mind when choosing a profile photo and adding details like your bio or interests.
The steps below detail the process for making updates to your profile while using a web browser on a Windows or Mac computer. The steps in the mobile app may follow a different process, but changes to your Microsoft 365 profile through the app will still apply to other Microsoft 365 applications.
Edit your Cover photo for your Communities Storyline
- Open Communities (Engage) in your browser of choice.
- Click your name in the left navigation menu to get to your Storyline page.
- Hover over your current cover photo and click "Update cover photo" from the top right of the image.
- Click "Upload cover photo" from the menu that appears.
- Find the photo you want to use on your computer and click "Open" to apply the cover photo.

Image tips:
- Dimensions: 680 pixels by 275 pixels (if your image is larger, it will be scaled to fit automatically)
- File size: 20 MBs or less
- File format: PNG, JPEG, or a non-animated GIF file format
To delete a cover photo:
- On your Storyline, hover over your current cover photo and click "Update cover photo"
- Click "Delete photo" from the menu that appears.
Edit your profile card and privacy settings
Profile information across Microsoft applications like Viva Engage (the app that powers Communities) is displayed on what Microsoft calls a profile card. Not all of the information on your profile card can be edited since it syncs from other IT systems. To edit details like your profile picture and bio, follow the instructions below.
- Open Communities (Engage) in your browser of choice.
- Click your name in the left navigation menu to get to your Storyline page.
- In the information about you, click the button that looks like it has a business card icon. When using assistive technology, this button may be read as "Show contact information".
- More information will pop up in an overlay. Click "Update your profile" to be taken to the Microsoft 365 profile editor.
Updating your profile picture
- In the profile editor, click the edit pencil under "Profile picture" to change your profile picture.

Note: The picture you set here will be visible to others in our Outlook email system and across other Microsoft platforms. Please choose an appropriate photo that you wouldn't mind your professors seeing.
- In the photo editing window, click the Upload button at the bottom left to select a picture from your computer.
- Once you select a photo you will be able to zoom and adjust what part of your image to use. Click "Add to profile" at the bottom right to confirm.
- Click Save changes to apply your photo to your Microsoft account and Communities (Engage).
Edit your bio and other details
- In the profile editor, click About.
- Fill in the details you'd like to share in the boxes provided. Use the scrollbar inside the profile editor to see additional options.
- Click Save changes to apply the information you entered to your profile.
Adjust the privacy settings for your profile
- In the profile editor, click Data and privacy.
- Under "How do I choose what Microsoft 365 profile info others can see?" click go to SharePoint.
- In the SharePoint Edit Details page, use the horizontal navigation links to adjust who can see the information you enter.
- Some details can't be hidden due to institution-wide settings. For details that can be hidden, a dropdown will be available under "Who can see this?" to the right.

Note: Your choices for visibility are typically limited to either "Everyone" or "Only Me".
